Prepare for fiscal year closeout

  • Published
The fiscal year end is approaching, so it's time to take action to ensure the items and services that are needed are received. Acquisition planning is the key to meeting those needs. While use of the government purchase card remains the preferred method for obtaining small-dollar items and services. Larger acquisitions require much more planning.

The 19th Contracting Squadron is finalizing the planning process to ensure support is available for end of fiscal year requirements.

It's not too early to get requirements to the contracting squadron, even if they have not yet received funding. By working requirements now, contracting can get a head start on market research and other documentation required prior to award so that squadron members are better postured to execute when funds become available.

Organizations should note important milestones for processing purchase requests:

Deadline for submission

June 1: Annual recurring services with options and annual maintenance agreements.
July 15: AF Forms 9 for purchases over $100,000, which are not on an existing contract (General Services Administration, AFWay, etc),
July 30: GSA purchases over $100,000
July 30: AF Forms 9 for open market (non-GSA) requirements under $100K
August 13: AF Forms 9 for requirements under $100,000 purchased on GSA contracts

Meeting these deadlines will enable contracting to provide people the best possible service. Additional information concerning Air Force Form 9 preparation and any necessary paperwork to go along with it can be obtained from the customer guide on the Web site (from the secure base Website, via Mission Support Group homepage, under organizations, contracting squadron). Don't hesitate to contact the staff, as they strive to support people's needs by being their business advisors.

Prepare Air Force Form 9 for a contemplated purchase for requirements with special circumstances (availability of funds, finalizing requirements, etc.), route the form through the Automated Business Services System, and contracting will make every attempt to ensure those special needs are met.

The contracting squadron is here to support people and provide the supplies and services they need. By working together as soon as someone has a requirement, the squadron can ensure their needs will be met in a timely and effective manner.
